Executive Assistant to the CEO
We are seeking a proactive and adaptable Executive Assistant to support the CEO in managing time-sensitive priorities, daily coordination, and high-level scheduling. This role is ideal for someone who can work independently, learn quickly, and manage various systems with precision.
The assistant will serve as a gatekeeper and operations coordinator, ensuring executive focus remains on strategic execution. This is a fast-paced and dynamic position requiring clarity of communication, discretion, and the ability to pick up new tools and workflows without handholding.
Key Responsibilities:
Manage multiple overlapping calendars for the CEO with a high degree of accuracy and foresight.
Coordinate virtual meetings, bookings, and follow-ups across various service platforms and vendors.
Monitor tasks and communications across tools, provide structured updates, and flag priorities.
Handle delegated personal errands (bookings, food deliveries, rideshares) as part of the executive's work operations.
Act as a liaison between the CEO and other staff or external contacts to ensure efficiency.
Log, summarize, and track communications and workflows in tools as instructed.
Remain on-call during working hours with availability to respond quickly when requested.

Calendar Mastery: Strong experience managing complex calendars for busy leaders
Tools & Platform Expectations: You must be proficient with Zoom and Uber as part of daily operations. You should also be willing to learn and confidently navigate a variety of applications the executive uses regularly. These include Vonage (communication), Clio (legal CRM), Daylite (productivity CRM), Grubhub, CubnGo, Lyft, Milk and Honey To Go, and Park Mobile. Prior experience with all tools is not required, but fast pickup and a learning mindset are essential.
Required Experience:
2+ years supporting a senior executive remotely Strong calendar ownership for a fast-moving CEO or founder
Experience juggling multiple priorities and platforms independently U.S.-based support experience preferred (but not required)
Legal firm or professional services background is a plus

Minimum Qualification:
Minimum of 3 years’ experience being an EA. Preferably working in a US Law firm
